Personal Assistant to MD/Administration Support Manager/Practice Manager Designate required for a busy, Midlands based Professional Accountancy practice offering a wide range of specialist tax and business growth services as well as operating of a UK-Wide network of Leading Independent firms. The role is based in Cannock, Staffordshire, West Midlands. Job Title: Personal Assistant to MD/Administration Support Manager/ Practice Manager Designate Package : A Starting Base Salary, dependent on skills and experience of circa £30k - £35k reflects the nature, importance and diversity of this position. Significant additional performance related bonuses are attainable. There is additionally the opportunity for rapid increases in base salary as a full management role is assumed. We would also consider candidates with less experience but who have the ability and desire to quickly develop into this role. Full time role . Due to the nature of the role, some flexibility will be needed on actual working hours depending on the tasks, events and general workload on a day to day basis. EG Occasionally you may be required, at short notice, to attend meetings or events away from home either in UK or occasionally abroad. Start date of asap. Area : Cannock Staffordshire / West Midlands / Cannock, Lichfield, Walsall, Wolverhampton, Stafford Rugeley, Hednesford, Burntwood, Brownhills, Product : Professional Accountancy practice who are also part of a UK-Wide network of Leading Independent Accountancy firms each additionally offering specialist tax and business growth services to owner manager and family businessess Job description : Personal Assistant to MD/Administration Support Manager/Practice Manager Designate The role combines 3 key elements: a) Practice Manager of Midlands Accountancy Practice. b) Personal Assistant to Managing Director. c) Administrative support for network and other ventures Practice Manager Designate : Working closely with Managing Director on a day to day basis carry out and over a period assume total responsibility for as many managerial tasks of the director as possible and allow him to spend more time on specialist tax/accountancy matters. General day to day management of the accountancy practice including: Job control, planning, scheduling and prioritising, liaison with staff and clients. Invoicing and credit control, system design and simplification. Scheduling, completion and follow up of ad hoc assignments. Overseeing finances, debtors, wip, reporting etc. Dealing with registrations, compliance, computers, equipment. Administrative Support for Accountancy Network and other ventures including: - Daily E Mail and telephone communication with members - Customer Service - Project management and monitoring - Data Input - Creation and distribution of reports. - Marketing, preparing literature, maintaining website, preparing e mail flyers. - Driving, motivating and encouraging members to action. - Event Organisation and management from start to finish, including invites, marketing, follow up, information collation, set up and hosting etc. - Attendance at Organised events, both in UK and occasionally overseas. - Actioning activity based on members requirements. - Performing IT related tasks on reporting, managing systems etc. - Implementing and improving new products and processes - General Administrative and other report duties - There will also be a large element of Customer Telephone contact, Customer Telephone sales. Personal Assistant to Managing Director , including: Basically anything and everything that is needed, eg, typing up notes from and following up meetings, collating document packs, telephoning around to collate all the information to make quick informed decisions or quickly implementing the decisions made in the time allotted, diary management, travel arrangements, e mail management, minute taking etc. There are also a lot of small day to day mundane tasks in this part of the job, however the longer term plan will be to also employ a junior assistant to assist with many of these tasks. Over the first 6 months you will be involved in understanding all of the above elements of the role whilst receiving ongoing training to enable the assumption of all practice manager responsibilities. This role is for a person who loves challenge and has a desire to work with a fast growing, market leading organization. No two days will be the same. The role is Cannock based, however will occasionally involve working in different parts of the UK and occasionally overseas. This is a key role in the organisation and you will be “helping to shape the future of an evolving company”. Due to the nature of the role, some days you will be needed to work longer hours whilst on other days the requirements will be much less. Overall balance of a full-time role will still be achieved. Key Skills / Experience ; You will have previous Personal Assistant / Administrative experience Great communication and organisational skills and a professional approach, to everything you are involved in. You will need to be an all-rounder and have the confidence to deal with people at all levels. You will have previously been an administration manager or PA to a director or similar type of role, however you will also be happy to carry out, as required, the more day to day, mundane aspects of administration. Clear organisational abilities are key – There can be around 60-100 matters happening at any one time. Very tight deadlines and ability to prioritise, make decisions and take positive action but equally be very conscious of effects on others of missing internal deadlines Excellent memory – you will use a variety of checking systems and controls, but a good memory certainly helps Project Management experience with a desire to get efficiently to the end of a task and tie up all loose ends. Impeccable Time Management, with Flexibility in working patterns and the ability to “catch up” or fit something in when required. IT – able to resolve issues alone (excel and word mainly, PowerPoint and access also used) People – ability to motivate others so you need to be a people person, though recognising that many tasks will need intense concentration Efficient working practices to ensure all elements of the role are completed and managed on an ongoing basis.
