Lionbridge (UK) Ltd have a permanent opportunity for a Project Controller, to join their busy team in Derby. The role is responsible for providing support to a team of Project Managers and theextent of these duties will be related to monitoring of financial information and ensuring compliance with Lionbridge organisational audit requirements.

The Role:

- Project control and Financial Administration
- Creation, maintenance and audit of new projects in the financial risk management system and project specific PO burn down trackers, with analysis and monthly reporting
- Creation and maintenance of project risk register(s) and maintenance of commercial risk register with weekly reporting to stakeholders.
- Project account management and monitoring, reporting, etc. associated with all projects and project tasks.

RESPONSIBILITIES (includes but not limited to)

- Creation of new projects in the financial management system, liaising with Project Managers (PMs) to ensure customer Purchase Orders (Pos) and all relevant documentation is available as per company processes, so there is an auditable record.
- Overseeing and audit of a PO burn-down tracker (by project) to ensure that the expenditure against each PO is monitored. Management of the tracker to ensure that no project runs at a financial risk, including no purchase ord er cover. Monthly analysis of data with reporting to stakeholders.
- Overseeing, maintenance and addition of commercial risks to project risk register(s), with action plans updated weekly. Maintenance of a commercial risk register with weekly reporting to all stakeholders.
- Retention and management of accurate and auditable records of project sales values, accounts receivable, costs and Work In Progress (WIP).
- Liaison with customer finance departments re: outstanding invoices, unbilled and unpaid accounts receivable.
- Retention of database re: rejected invoices, working with PMs, customers and the Lionbridge Finance department to resolve queries in a timely manner.
- Ensure accurate project cost capture by monitoring SAP time reports to ensure that project resources are being mapped correctly against projects, so the correct costs are generated in the Lionbridge finance system. Errors to be reported to stakeholders, including PM, for resolution.
- Collation of SAP time entries for payroll period, producing reports to show overtime, sickness absence, unpaid leave deductions and shift worker hours (i.e. adjustments to payroll that may be required). Submit to HR monthly by payroll cut-off deadline.
- Production of auditable reports for invoicing periods. These must contain either hours worked during the invoicing period multiplied by a revenue rate OR a project task multiplied against a revenue rate. The report should state the project details/invoice value and reference/PO/customer details - these need to be cross checked with invoices that have been input into the Lionbridge finance system BEFORE being submitted to the Finance Department.
- Production of auditable reports for month end revenue recognition, ensuring all revenue has been captured for each project and has been input into the Lionbridge finance system. Working with the Finance Manager, ensure revenue and costs for the projects have been accurately recorded.
- Provision of SAP SPM certification for programme revenues.
- Overseeing and reporting of queries arising from invoices submitted to customers, ensuring the PM team and other stakeholders have the correct information to resolve them.
- Production and issuing of monthly project breakdown reports to all stakeholders to ensure that the PMs can provide their customers with information so they are aware of the expenditure of their budgets.
- On-going close liaison with key customer contacts through regular project finance meetings.
- Collation of information from the PMs, producing weekly reports that summarise and communicate the cost and revenue predictions to the Operations team for the business projects, in order to predict the monthly/annual quarter revenue costs.
- On-going liaison with Finance and Operations Management in order to ensure they are kept informed at all times of any project developments that may have an impact on the performance of the unit and are aware that the approach to project control is in line with the overall unit and business strategy and processes.
- At each month end, work with the Operations Management to ensure all information is provided in order to ensure completion of accurate and timely closedown, as well as ensuring all project related Profit & Loss (P&L) are in line with expectations.
- Weekly liaison with PMs to ensure project cost projections are thorough and fully considered at all times, with the proposed margin at completion being challenged where necessary and accurate.
- Other duties to support PM(s) and/or Operations Manager as may be required

Education & Experience

- Min. GCSE (or equivalent) in Maths and English
- Demonstrated competence re: working in a busy office environment supporting a number of Managers, projects and teams
- Evidence of ability to competently create and undertake maintenance of spreadsheets to record, manipulate and present information
- Evidence of ability to competently create agendas, minutes, documentation and general correspondence.
- Evidence of competence within a customer facing role with excellent customer service and persuasion skills.
- Commercial and financial understanding.
- High level of experience in an administrative support role and/or projects related role.

Knowledge, skills and abilities

- Excellent written and verbal communication skills with high level of numeracy
- Excellent computer literacy with experience of using Microsoft Office suite, particularly: Word, Excel and PowerPoint
- Evidence of familiarity with project management processes.
- Ability to accommodate shifting priorities, demands and timelines - effectively prioritising and executing tasks in a high pressure environment.
- Evidence of analytical and problem solving capabilities.
- Ability to communicate effectively with clients and a diverse staff population, in order to elicit co-operation from a wide variety of sources within Lionbridge and external to the business.
- Ability to maintain professionalism and confidentiality with proprietary information
- Ability to work both independently and in a team oriented, collaborative environment (essential).
- Confident, resourceful, highly organised and able to work without close supervision
- Ability to undertake research into project related issues and projects.
- Flexible during times of change, reacting promptly and efficiently to project adjustments and alterations.
